Loading Card Photos to Bundledocs

If you have a photo in card form scan it in as a PDF.  When scanning select "portrait" A4 and make sure the photo is the right way up (not at 90 degrees). Scan both the face of the photo and the reverse side as a two-page PDF or, if the photo is less than about 10cm high, you could scan each side in as a PNG or JPG file and then use standard PDF software (e.g. PDF X-Change Editor) to create a single-page PDF with the the face of the photo in the top half of the page and the reverse side below. 

The reverse side might have a date stamp from the photographic shop which made the print which would at least show that the photo must have been taken not later than that date.  Even if the reverse side is completely blank it is useful to know that so you should always scan both sides.

After you have loaded the photo to Bundledocs by tapping the Add Documents button (see video) you should set the date (so far as you can ascertain it) as shown in the example below.  

You probably will not know the exact date the photo was taken but you can enter the approximate date, within single quotation marks, in the Display Date Format box (see video) like this:

'Jun 1997'

'circa. 1998'

'summer 1975'

'mid 1990s'

Don't use the form about 25 years ago because if you do someone reading that will not know exactly when you entered it and therefore be unclear what year to count back 25 years from. 

If you have completely no idea at all when a photo was taken you can simply enter 'Date NK.' 

Note that although, when Display Date Format contains only text within quotation marks, the date in Document Date field is not displayed, nevertheless the date in the Document Date box is still used to determine what position the document ends up in when you tap the Sort Documents by Date button, so you should set Document Date to a date at very roughly the mid point - e.g. if you enter 'summer 1975' in Display Date Format, set Document Date to 1975-06-24

Exhibit Mark

When you get to the stage where a statement is being prepared which will refer to the photo with an exhibit mark (e.g. a statement confirming where and when you took the photo or how it has come into your possession) you should add the exhibit mark to the the beginning of the Document Description like this:-

The file can then be downloaded as a PDF (tap the Preview Document button followed by the Download PDF button) and an exhibit mark label applied to the downloaded PDF which can then be printed and verified by the witness.
