The printing instructions should be as simple and easy to follow as possible.
When you have written the instructions in a Word document load it so that it will be the first page of the bundle after the index. If you are at the stage where page numbers are fixed there should be a single-page bundle intro document (if necessary just a blank page) already loaded, so that you can download it and add the printing instructions to whatever comments it already contains, keeping it as a single page so that page numbering does not go awry.
Some matters the printing instructions should deal with are explained below.
Which pages should be in which hardcopy volume
The printing instructions should say e.g. The main index shows show how many volumes should be used for each hardcopy, the colour coding to use, and the page ranges to include in each volume.
Whether double-sided printing is to be used
The printing instructions should indicate whether double-sided printing is to be used. An example of instructions would be: The tribunal has directed that the hardcopies to be provided to it should be printed double-sided. If printing any extra hardcopy for your own use, printing double-sided is recommended because the allocation of pages to volumes (which you will want to follow for consistency) is such that a volume printed single-sided may be too large to easily handle.
Whether any pages need to be printed landscape on A4 or A3 paper
It is common for pages in the PDF to be arranged for ease of scrolling/viewing and so the printing instructions may need to identify pages to be printed in a particular way because, for example, pages to be printed on A4 and A3 paper in landscape may not actually be A4 or A3 size in the PDF. So the printing instructions might say - e.g. All pages in section F should be printed single-sided on A3 paper in landscape specifying the "fit to printer margins" option. Any other document listed in the index with (A3L) after its description should also be printed A3 landscape. Any document listed in the index with (A4L) after its description should be printed A4 landscape.
Identifying specific documents to be printed in landscape by having (A3L) or (A4L) in the index description can only be done if the document is a single page document or a document all of whose pages should be, or at least can be, printed in that way. If only some pages within a document are to be printed like that then you will need to identify these in the instructions by bundle page number. In fact, if you have time, it will be easier for those printing hardcopies if, instead of referring them to the index, you actually list, in the instructions, all the pages to be specially printed, like this:
The following pages should be printed landscape on A3 paper single-sided specifying the "fit to printer margins" option: 36, 54-56, 72-75, 250-283. The following pages should be printed landscape on A4 paper specifying the "fit to printer margins" option: 45-46
The person printing hardcopies can then simply copy/paste the comma-separated page number lists into the print panel when printing. Of course when writing instructions in this way you need to write the printing instructions after bundle page numbering has been declared to be fixed.
